To support our growth, we are looking for a proactive and hands-on Operations & Business Support Assistant to join our team in Luxembourg and help support the daily life and development of the company.
This is a highly dynamic and cross-functional role with direct involvement in operations, purchasing, travel coordination, business support, events and funding activities within a fast-moving and technology-driven environment.

Key Responsibilities
- Support the daily operations and organisation of the company
- Prepare and manage documents such as NDAs, contracts, quotations, presentations and reports
- Coordinate business trips, meetings, visitors and company logistics
- Support purchasing activities, supplier follow-up and operational coordination
- Manage invoices, expenses and administrative follow-up in Odoo
- Help improve and simplify internal processes and workflows
- Help monitor relevant opportunities and ecosystem developments in the drone, aerospace and defence sectors
- Support the preparation of administrative documents for funding programmes, tenders and innovation calls (EDF, EDIP, NATO, Horizon Europe, etc.)
- Support AP LUX participation in international exhibitions, trade fairs and business events
- Collaborate closely with management and technical teams on a variety of operational topics
Required Skills and Competences
Good command of Microsoft 365 tools
Experience with Odoo is a plus
Basic understanding of administration, purchasing and accounting processes
Ability to prepare, structure and manage administrative and contractual documentation accurately
Comfortable working with deadlines, submissions and administrative follow-up
Interest in European funding programmes, innovation calls and institutional ecosystems (EDF, EDIP, NATO, Horizon Europe, etc.)
Ability to monitor and navigate institutional and tender platforms
Strong organisational skills and attention to detail
Fluent English required (written and spoken)
French and/or Italian are considered strong advantages
